Driver App – Vehicle Inspection Setup
The vehicle inspection feature in DA for Drivers requires drivers to complete a checklist each time they log in or switch trucks. QR codes tie each inspection to a specific vehicle, and failed inspections automatically notify your Shop Manager. This guide covers everything needed to get the feature running.
Overview of how it works
Drivers are prompted to complete a vehicle inspection at login
Each truck has a QR code — drivers scan it to assign themselves to that vehicle
Inspections are logged and reviewable in Reports
If a vehicle fails inspection, an automatic email is sent to the Shop Manager
Setup steps
Step 1 — Enable the feature
Go to Settings → D.A. for Drivers and enable both of the following:
QR Scan Assignment — allows drivers to scan a QR code to assign themselves to a vehicle
Driver Checklist — activates the inspection checklist prompt at login
Both settings must be enabled for the full inspection workflow to function.
Step 2 — Configure the inspection checklist
Go to Settings → Dictionaries → Driver Checklist. From here you can:
Add or remove checklist items based on truck type
Reorder items to match your preferred inspection flow
Customize the checklist before drivers begin using the feature so they see the correct items from the start.
Step 3 — Print QR codes
QR codes are generated and printed from the Administrative Section of Reports. Print one for each vehicle and place it somewhere drivers can easily scan it — typically inside the cab.
Step 4 — Configure the Shop Manager email
Go to Company Settings and confirm the Shop Manager email is filled in. This is the address that receives automatic notifications when a vehicle fails an inspection. If this field is blank, failed inspection alerts will not be sent.
Step 5 — Review inspection reports
Go to Reports → Dispatch Section to run inspection reports. You can review:
When each inspection was performed
Results for each checklist item
Any items that were marked as failed
Driver workflow
Once the feature is enabled, here is what drivers experience:
At login, the app prompts them to complete a vehicle inspection before proceeding
If they switch trucks during their shift, they scan the QR code on the new vehicle to reassign themselves
If any item fails inspection, the system automatically emails the Shop Manager
Frequently Asked Questions
Do I need to enable both QR Scan Assignment and Driver Checklist?
Yes. Both settings must be turned on under D.A. for Drivers for the full inspection workflow to work. Enabling only one will result in an incomplete setup.
Where do I print the QR codes for each truck?
QR codes are printed from the Administrative Section of Reports. Print one per vehicle and attach it inside the cab for easy scanning.
Who gets notified when a vehicle fails inspection?
